MediaTree is a Giftogram organization built specifically for the promotional products space — partnering with resellers to deliver digital gift card solutions at scale. As MediaTree grows, the operational infrastructure behind it needs to be just as strong as the product itself.
As the Operations Manager for MediaTree, you will own the day-to-day execution of the division — from order entry and processing through invoicing, billing, and program monitoring. You are the connective tissue between our clients, our internal teams, and the tools that keep everything running. If a program is live, an order is in flight, or an invoice is outstanding, it runs through you. This role reports to the General Manager of MediaTree.
In This Role, You'll:
- Own end-to-end order management for MediaTree — entering, processing, and tracking all orders from submission through fulfillment, ensuring nothing falls through the cracks
- Manage invoicing and billing operations — generating accurate invoices, following up on outstanding payments, and maintaining clean records across all client accounts
- Monitor active programs and orders — maintaining real-time visibility into program status, flagging exceptions early, and coordinating resolutions across internal and external stakeholders
- Build and maintain operational workflows that scale — documenting processes, identifying inefficiencies, and implementing improvements as volume grows
- Serve as the operational point of contact for reseller accounts — communicating clearly on order status, billing questions, and program updates
- Partner cross-functionally with the MediaTree sales team, Finance, and Customer Success to ensure seamless coordination from order entry to program delivery
- Maintain accurate records in our systems — ensuring data integrity across orders, billing, and account management tools
- Generate operational reports that give leadership clear visibility into program performance, order volume, and outstanding items
You Might Be a Great Fit If:
- You have 3+ years of experience in operations, office management, or a similar role — ideally in a high-volume environment with invoicing and order management responsibilities
- You are organized by nature — you build systems, maintain lists, and follow things through to completion without needing reminders
- You have hands-on experience with invoicing and billing — you understand what clean AR looks like and know how to stay on top of it
- You move quickly and stay accurate — speed matters, but you know that errors cost more than time
- You communicate clearly and professionally — internally with teammates and externally with clients, you give people the information they need without overcomplicating it
- You are comfortable working in tools like Excel, Google Workspace, and CRM or order management platforms — and you pick up new software quickly
- You are proactive, not reactive — you spot issues before they become problems and bring solutions when you raise them
- You thrive in a growing environment — you are comfortable with some ambiguity and like being the person who brings structure to it
